Creating and Submitting Reserve Reading Lists

Use one of the forms below to submit course reserve reading lists. Both print and online materials should be included on one form. Please contact us if you have any questions.

For use in Baker-Berry, Feldberg, Kresge, or Paddock Libraries:

  • Excel form
    Recommended for easy saving, editing, and sorting of lists from term to term. (Fill out the form, save a copy to your computer, and email the file as an attachment.)
  • Word form

For use in Dana or Matthews-Fuller Libraries:

Linking from Blackboard to Library Course Reserves

There is now an automatic link to Library Course Reserves from within your Blackboard course:

  • From your blackboard course page, select "Library Resources" from the navigation bar on the left 
  • Select "Library Reserves for this Course" 
  • This link takes you directly to the course reserve page in the library catalog


Guaranteed List Processing

We send professors a letter each term, updating them on Reserve Services. The letter also includes an important date: Pre-term deadline for Guaranteed Course Reserve Reading Lists. Course Reserve Reading Lists received by these pre-term deadlines are GUARANTEED to be available for student use on the first day of classes. Exceptions to the guarantee would be books that have to be ordered, items that must be recalled from borrowers, and missing books. Course Reserve Reading Lists submitted late, after pre-term deadlines, may not be processed in time for students to have access to the material when they need it.

We process Course Reserve Reading Lists Monday - Friday, 9:00am to 4:00pm. All Reserve Reading Lists are processed IN THE ORDER IN WHICH THEY ARE RECEIVED.

Once a list is completely processed, and materials ready for student use, a copy of the list will be sent to you, advising you of any problems, changes, or missing items from your list.


List Guidelines

FAQs about incorporating online resources into course reserve lists

All Reserve Reading Lists or additions to Lists must be submitted on a Course Reserve Reading List form (please see "Creating and Submitting Reserve Reading Lists", above).

Submitting your Course Reserve Reading Lists in alphabetical order by author, makes processing and retrieval of material for your list easier, quicker and accurate. Please do not submit in syllabus form. If the number of copies needed is not indicated (1 copy per 25 students), we will put on Reserve only those copies which we have available.

We must have COMPLETE CITATIONS for all materials being placed on reserve. The form prompts you for the information we need: author, complete title of book or journal (no acronyms), title of article, volume number, date, and pagination. Please provide all information, so that your List can be processed quickly and accurately. When in doubt as to what constitutes a complete citation, please refer to Dartmouth's Sources manual: http://www.dartmouth.edu/~writing/sources/

Faculty must choose a loan period for materials on their Course Reserve Reading List. Baker-Berry Reserve Services has three loan periods for Reserve reading - 2 hour, 4 hour, 24 hour. If you do not specify, we will put your material on as 2 hour loan.

Plan for a six to eight week ordering process for new books or additional copies of books to be ordered for Course Reserves. Contact your bibliographer in ADVANCE if you wish to order new books. If you're not sure which bibliographer is responsible for your department, that information is available online: http://researchguides.dartmouth.edu/subjectlibrarians/

Please be selective when choosing material to be placed on reserve. Restrict reserve requests to required reading only. "Suggested readings" usually remain unused. Our statistics show that many items are never checked-out by students. We are happy to share those statistics with you, at your request.


Personal Materials

Your personal books may be placed on reserve, but we CANNOT assume responsibility for loss or damage. For circulation purposes, we must affix a non-removable barcode sticker to the back cover. Please write your complete name inside the front cover of the book.

At the end of each term, personal items that have been placed on reserve must be picked up at the Reserve Services Desk. If the items have not been picked up by the start of the next term, they will be discarded, as Reserve Services does not have storage facilities for personal books and copies.

How do I go about placing material on reserve at Baker-Berry Library?
All Reserve Reading Lists or additions to Lists must be submitted on a Course Reserve Reading List form. Please use the MSWord or Excel form in Creating and Submitting Reserve Reading Lists.

How long can students borrow reserve material?
Items may be placed on reserve for a loan period of either 2 hours, 4 hours, or 24 hours. Students may check out 2-hour material overnight if they borrow it during the last two hours Baker-Berry Library is open and return it no more than an hour after opening the next day.

When should I place my reserve requests? How long will it be before the requested items are available to students?
Reserve lists for each semester should be submitted as early as possible. Pre-term deadlines are set each term. Course Reserve Reading Lists received by pre-term deadlines are GUARANTEED to be available for student use on the first day of classes. Exceptions to the guarantee would be books that have to be ordered, items that must be recalled from borrowers, and missing books. Course Reserve Reading Lists submitted late, after pre-term deadlines, may not be processed in time for students to have access to the material when they need it.

Can I put my own material on reserve (books, exams, copies of journal articles etc.)?
Yes. Personal copies of books and articles may be placed on reserve. Journal articles and book chapters must meet the guidelines regarding copyright (see below). Up to two photocopies of copyrighted material will be placed on reserve unless the class enrollment is more than 25 or is composed of multiple sections.
